Introduction

Jepson Coaching is a trading name.  Jepson Coaching specializes in the provision of individual and organizational professional learning and development (L&D) solutions.

Our data processing is limited to the information necessary to provide services to our customers and individual clients.

The Data Controller is Debbie Jepson, Owner of Jepson Coaching and of Jepsoncoaching.com.

Data users, with access to relevant electronic and paper records, are limited to:

  • Debbie Jepson - Owner.

  • Any learning and development professionals and coaches providing services under the Jepson Coaching trading name.

  • Any network member providing services under the Jepson Coaching trading name.

Customers and Clients

For the purposes of this policy, data subjects will be:

  • A "customer" representing an organization who contracts with Jepson Coaching for the provision of group or individual services.

  • A "client" representing an individual who contracts directly with Jepson Coaching to receive one-to-one services, or is an individual within a contracting customer's organization.

Type of information and data collected

Relevant data to be processed will mainly include, but will not be limited to, the following:

Any information you enter on our website or provide us in any other way.  Such data will mainly include, but will not be limited to, the following:

  • Names / job titles / departments / e-mail addresses of contacts and clients;

  • Names / work phone numbers / e-mail addresses of individual clients;

  • Resumes / CVs / biographical information provided by customers and clients to Jepson Coaching  in order to provide professional development and coaching services;

  • Details of Individual and organizational training needs relating to the provision of professional learning and development services;

  • E-mails between Jepson Coaching and potential or contracted customers and clients associated with service provision;

  • References, reviews, evaluations and success stories provided by customers and clients;

  • Confidential business and organizational information provided to Jepson Coaching in order to prepare for and provide professional development services;

  • Records, phone, conversations, e-mails, meetings - relating to the conduct of business with the customer or client;

  • Visual and audio recording of interventions with customers and clients, such as webinars and recording being made with the explicit consent of the customer and individual clients;

  • It is not anticipated that sensitive personal data in connection with individuals will be collected, nor will any type of telecommunication be monitored or intercepted.

In addition, we may use software tools to measure and collect session information relating to your Internet protocol (IP) address used to connect your computer to the internet and this site to track site login, e-mail address, password; computer and connection information and site purchase history.  We may use software tools to measure and collect session information, including page response times, length of visit to certain pages, page interaction information, and methods used to browse away from the page.

Retention of Relevant Data

Retention periods of data will vary with the data in question:

​

  • Training Needs Analyses - up to a year after completion of the service.

  • All business records relating to an ongoing contract with a customer and / or client - up to seven years after the termination of the contract (for tax purposes).

  • All personal/development records relating to an ongoing contract with a customer and / or client - up to two years after the termination of the contract.

  • Success stories, testimonials, evaluations and recommendations may be held indefinitely, with the removal of customer and / or client identifying information.

Confidential data will be shredded and / or incinerated on disposal.  Electronic data will be deleted.

How do we collect information?

When you conduct a transaction on our website, by mail, by phone or in person, as part of the process, we collect personal information you give us, such as your name, address and e-mail.  Your personal information will be used for the specific reasons stated below only.

Why do we collect such personal information?

We collect such Non-personal and Personal information for the following purposes:

  • To provide and operate our professional development services;

  • To provide our visitors, customers and clients with ongoing customer assistance,  technical and professional support;

  • To be able to contact our Visitors, Users, Clients and Customers with general or personalized service-related notices and promotional messages;

  • To create aggregated statistical data and other aggregated and/or inferred Non-personal Information, which we or our business partners may use to provide and improve our respective services;

  • To comply with any applicable laws and regulations.

How do we store, use, share and disclose our site visitor's personal information?

Jepson Coaching is hosted on the Wix.com platform.  Wix.com provides us with the online platform that allows us to sell our products and services to you.  Your data may be stored through Wix.com's data storage, databases and the general Wix.com applications.  They store your data on secure servers behind a firewall.  All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover.  PCI-DSS requirements help ensure the secure handling of credit card information by our store and it's service providers.

Hard copy / paper data is stored in filing cabinets in a private office.

How do we communicate with our site visitors?

We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreements we may have with you.  For these purposes we may contact you via e-mail, telephone, text messages, social media and postal means.

The confidentiality of our clients and customers are of paramount importance to Jepson Coaching.  The following will be ensured:

  • The rights to confidentiality , for all parties, will be established at the onset of every new business relationship and each one to one or group intervention;

  • Any form of discussion about a customer or client experience (with a group of individuals for learning purposes, or with a mentor as part of coaching supervision) will not include any identifying details, unless explicit consent has been given by such customer, participants or client in advance.  This includes where customers are paying for coaching interventions for individual staff within their organization;

  • Any agreement to publish identifiable data about a customer or a client, for example testimonials and success stories and references in marketing materials on on a website, will be with the explicit consent of the customer or client in advance.
